Vorsselmans is a Belgian family business specializing in aluminum and glass works, with a fast-growing branch in solar energy. From their offices in Wuustwezel, they realize both residential and large projects in Belgium, the Netherlands and the United Kingdom. With 180 permanent employees and an annual turnover of €45 million, Vorsselmans builds sustainable total solutions every day.

Challenge

Planning in Excel ran aground on growth.

Within the Solar division, Vorsselmans was running into the limits of their planning approach. The growth of this business unit meant more projects, more people and more dependencies. The existing planning in Excel was error-prone, time-consuming and no longer scalable. Cooperation between the office and site was also difficult: paper work sheets, manual input and limited real-time information hampered the overview.

Vorsselmans came into contact with Visual Planning via On IT during a session of the Confederatie Bouw. The click was there immediately: not a ready-made software vendor, but a partner who thought along with the processes.

Instead of transferring their Excel planning one-to-one, Vorsselmans and On IT took two steps back. The entire planning flow was analyzed, redrawn and translated step by step into Visual Planning. Integration with their ERP package and communication flows were also addressed.

Solution

From bills in the yard to data in real time.

Today, Vorsselmans works with a scalable, digital planning environment in which everyone, from planner to mechanic, finds their role. Tablets replace paper worksheets: employees on site record their performance directly in Visual Planning, making the information available to the planner in the office within the minute.

Communication toward customers has also greatly improved:

  1. Sellers can consult the schedule in real time during home visits. This makes it possible to make a concrete proposal immediately.
  2. Mailings to customers with practical info have been sent automatically since the introduction of Visual Planning – every evening for all new projects. Previously, this was done manually.
  3. ERP integration ensures that new files are automatically retrieved and scheduled with no additional actions.

More than 50 employees at Vorsselmans today use Visual Planning on a regular basis, spread across different departments and functions.
