Who are you in our On IT story?
Are you administratively strong and do you get satisfaction from structure and overview? We are looking for an administrative assistant who coordinates the entire process from order to installation. You combine accuracy with a sense of responsibility and ensure that everything is correct, from order to invoice. This is how you make a real difference for customers and colleagues.
Responsibilities
Order and supplier management
- Process and track orders in administrative systems.
- Preparation and processing of purchase orders.
- Liaise with suppliers regarding orders and deliveries.
- Review and record delivery documents.
Invoice and inventory administration
- Review and process incoming invoices.
- Assist in the invoice approval process.
- Update and manage inventory data in the system.
- Administratively link products and orders.
Order processing towards customer
- Formatting and processing documents required for customer orders.
- Prepare and transmit administrative files to internal departments.
- Follow up the order process from request to delivery.
General administrative support
- Correct and accurate processing of data in the systems used.
- Participate in the optimization of administrative processes and procedures.
- Support various departments by taking care of administrative tasks.
Qualifications
Personal competencies
- Work in a clear structure and maintain an overview, even at peak times.
- Great accuracy and attention to detail; discrepancies are quickly noticed and proactively resolved.
- Take initiative and contribute ideas for improvements in processes.
- Smooth and clear communication with colleagues, suppliers and customers.
Experience and training
- Initial relevant experience in an administrative position is required.
- Experience with CRM or ERP systems is considered an important asset.
- Good knowledge of MS Office and the ability to quickly master new software packages.
Languages

- Excellent command of Dutch, both oral and written.
- Knowledge of French and/or English is considered a valuable asset.
